Arrive at 7:45-8:00 with the worship team!
1) Set Up
Open the breaker and flick all of the switches to the right
On the wall at the far end of the sound booth
On the wall at the far end of the sound booth
Flick the speaker switch up
- Main (3) TV’s
- Point the “AQUOS - SHARP” remote at the 3 receivers next to the “ASUS” computer and press the power button
- TV behind the AV booth
- Point the “AQUOS - SHARP” remote at the TV behind you and press the power button
- Small/Lower/Back Wall (2) TV’s
- Point the SAMSUNG remote (the one with 2 red power buttons on the top of the remote) at the TV’s and press the power button on the top right of the remote
The TV’s will take a few moments to turn on so don’t worry if it takes 10-15 seconds
By the GO Center on the wall
Click the top button
Click on the ProPresenter icon on the bottom bar of the Mac Book
Click the Spotify icon on the bottom bar of the Mac Book
- Click the + near Library and choose Planning Center Service...
- Choose the Service for today


- After plan is imported you'll see placeholder spots. Click on the Service Containers playlist and drag each item to a placeholder spot in the service plan.
Link the Back Wall document to the Message placeholder. When you import the message slides from Powerpoint they will be imported as a new doc and added to the playlist under the Back Wall doc.
- Right-click on the playlist and choose Convert to Standard Playlist
- Unused placeholders will be removed.

- Go to File > Import > PowerPoint... and choose the file from Dropbox.
- Select the Presentations library and then wait for the import to complete.

- Make sure the document containing the message slides gets added to the playlist. If there are any videos, drag-and-drop from Dropbox to insert them into the order.
- ProPresenter opens PowerPoint when importing the slides. After the import is done you can close PowerPoint.
Add any media by dragging from the Dropbox folder into an existing document
- Open Finder drag the file from the Dropbox folder to insert it between slides wherever it is supposed to go.

Change videos to stop after ending (they loop by default)
- Right-click on the video and choose Inspector. Click the Properties tab and then change the Playback Behavior dropdown from Loop to Stop.
2) Quality Check
For each song in the playlist check the following:
Song was imported
Click on the song to see whether it was imported. If not, you'll need to add it manually.
Standard Arrangement is selected
Right-click on the song and go to Arrangement to see if there is already a Standard arrangement. If so, select it. If not, you'll need to add it (see below).

Begins with a blank slide
Check that the song starts with a blank slide. This slide should have Actions on it (two little icons in the corner). If the slide or Actions are missing, add them (see below).

Full Page Lyrics Theme is applied
Make sure all songs are using the correct Theme (formerly, Template). Highlight the songs from the playlist and then click the Theme button on the top toolbar. Go to Lyric Styles > Custom and choose Full Page Lyrics.

Slides are in the right order
As the worship team practices be sure your lyrics match theirs and make any edits needed to the lyrics or arrangement.
The first slide of the Countdown & Pre-Roll document will have an action on it that starts the 5-min countdown timer. After the timer is run, though, it has to be manually reset before you can start it again.
Check that the timer is reset and ready to use
- At the top of the window is a Timers button. Click to show the timer and make sure the count is at 5:00.00. If it's not, hit the reset button just to the left.

Check that slides have the countdown applied to them
- Look at the slide thumbnail for a countdown banner in the upper corner.
- If you don't see that banner, right-click on the slide, go to Themes > Countdowns and choose Countdown Top Right.

Be sure you have the Back Wall doc in the playlist just above the imported message slides
- The Back Wall slide has Actions that will change settings for the Stage Display and Live Stream output. If it's not in the playlist, add it in.
Be sure the Back Wall doc is set to the Announcements layer
- Check that there is a green circle on the playlist item. If there's not, click the circle icon on the right side of the document header and choose Announcements.

Add any videos to the message slides document
- Open Finder drag the file from the Dropbox folder to insert it between slides wherever it is supposed to go.

- Right-click on the video and choose Inspector. Click the Properties tab and then change the Playback Behavior dropdown from Loop to Stop.

- Make sure that everything on the order of service is in ProPresenter
Especially check that any announcement slides or videos are there!
- Check in with whoever is preaching or giving announcements (after the 9AM huddle is the best time) and ensure that you have everything they need
3) Start Pre-Service Aesthetics
These are the things that we can do to create a clear, welcoming, and enjoyable atmosphere for the congregation. It involves playing music, letting the church know when the service will start, and having slides on the screens which set the atmosphere or help to inform people.
- Go to Spotify and select the Pre-Service playlist
- You could select a song, hit the playlist play button, or start the playlist on shuffle play
- Communicate with the sound engineer that you have the music playing
- Go to “Shiloh Back wall” tab and click on the slide that says “Shiloh: Know God, Find Freedom, Discover Purpose, Make a Difference”
- FYI: This will pull up the graphic on the 2 small/back wall TV’s on stage
The only way to remove this graphic and return to one of the motion backgrounds for worship is to first press the “F1” key, which blacks out all TV’s. Once you do this then you can select the motion background you would like for the worship set.
- Go to “5-Min Countdown” tab and click on the first slide
- At 9:25 am (5 min before service), click the “Countdown - Start” button with the green icon on the right side of the screen
- This will display the 5-minute countdown clock on the top right corner of the slides as they continue to loop through
FYI: The slide will then loop through the available slides in this tab in 15 sec intervals. Leave this on loop until the 60 second countdown
- At 9:30 am (start of service), communicate with the Audio volunteer that you are going to start the 60 second countdown; this is the slide with “60” on it; click the slide and then click the “Countdown - Reset” button with the red icon on the right side of the screen.
• FYI: The “Countdown - Reset” button removes the 5-minute countdown clock and resets it to 5:00. This will only affect the 5-minute countdown slides and can be clicked whenever.
