Change Assigned Class (Assigned to Wrong Class)
If a child is assigned to the wrong classroom their age or grade is probably not correct in their profile. Classes are assigned automatically with age and grade filters.
Search for the family then tap Edit Household at the top. Update birthdate and/or grade (age updates based on birthdate). Tap Save Household to go back to the check-in screen.
The assigned classroom will be listed under the child’s name. If it’s still not right, see how to manually override location assignments below.
Manual Classroom Override
Occasionally there are cases where we want to override the auto-assignment. This should only happen if Cathy has made an exception, usually if the parent has asked that their older or younger child be in the same class with the other for their first week.
Search for the family and then tap on the edit button to see the details page.
Choose the class under Select a location and tap Prepare Check-In
Check-In a Child From Another Family
Sometimes a family brings a friend from another family that regularly attends.
- Have the parent/guardian check in their own children first.
- On the Manned Station, search the other child’s name to pull up their household. Check them in as usual.
- The parent/guardian will get two security tags, one for their kids and one for the other child.
Note: We could add the other child as a one-time guest while we’re checking in the family but since the one-time guest feature is for literal one-time guests, it doesn’t save the child's attendance info under their normal profile. Checking the child in separately is preferred.
Add a Medical Note
From the household screen, tap the edit button next to the child’s name. Add note, then tap Save Household in the top left. (Medical notes are printed on the child’s name tag)
Parent’s Phone Number Doesn’t Pull Up Their Household
Their phone number may not be saved in their profile.
Search the parent’s full name on the Manned Station and tap the Edit Household button to open their profile to add their phone number.
Reprint Name Tag or Security Tag
Name Tag
- Search the child’s or parent’s name to pull up their household.
- Tap on the edit button to see the details page.
- Tap on the Reprint Name Label button.
Security Tag
Losing the security tag is a bit of a bigger deal than the name tag since we release the child to the person with the security tag.
If a parent loses a security tag:
- Ask for their ID to confirm their name then pull up the household.
- If they are listed in the household we can check in the children again to get a new security tag.
- Tap the edit button and choose Check In Again.
- Repeat this for each child.
Once finished, new name tags and a new security tag will print. The parent/guardian will need to go put the new name tags on the child(ren) so the security code matches that on their security tag.
